Governing Law Notice: This Privacy Policy is governed by and construed in accordance with the laws of the State of North Carolina, including the North Carolina Identity Theft Protection Act (N.C. Gen. Stat. §§ 75-60 et seq.) and the North Carolina Unfair and Deceptive Trade Practices Act (N.C. Gen. Stat. § 75-1.1). Any disputes shall be subject to the exclusive jurisdiction of the courts of Mecklenburg County, North Carolina.
Centurio Solutions LLC is a North Carolina limited liability company and technology and digital services company based in Charlotte, North Carolina. We provide AI voice assistant and receptionist services, website design and development, CRM and workflow automation setup, lead capture systems, appointment booking solutions, and related digital support services for small and growing businesses.
We are committed to protecting your personal information and your right to privacy in a manner consistent with North Carolina and applicable federal law. This policy applies to all personal information collected through our website, service platforms, direct communications, and the operation of our AI receptionist and automation technology.
If you have any questions or concerns about this policy, please contact us at centuriosolutions@gmail.com.
This policy covers information collected directly from website visitors, prospective clients, and active clients, as well as information processed on behalf of our business clients through our AI receptionist and automation services. It does not govern the independent data practices of third-party platforms we use — each operates under their own privacy terms (see Section 9).
In compliance with N.C. Gen. Stat. § 75-61 and applicable federal law, we collect only information that is reasonably necessary to provide our services and operate our business lawfully. We may collect the following categories:
Centurio Solutions does not collect Social Security numbers, government-issued ID numbers, financial account numbers, credit or debit card numbers, health information, or biometric data through its website or standard service operations. If such information were ever required for a specific purpose, it would be collected only with your explicit consent and handled under separate written safeguards.
We collect information through the following means:
Centurio Solutions uses personal information only for specific, legitimate business purposes that are consistent with the context in which the information was collected. We do not use personal information in ways that would surprise a reasonable person given what they were told at the time of collection.
We use your information to:
Centurio Solutions does not sell, rent, license, or trade your personal information to any third party for that party’s own commercial purposes. We do not monetize your data in any form.
We do not use your personal information to send unsolicited marketing communications unrelated to services you have actively inquired about or engaged us for. If you receive a follow-up communication from us, it is because you submitted an inquiry, booked a consultation, or entered into a service agreement with us — not because your information was obtained from or shared with a third-party marketing source.
We do not use automated decision-making processes that produce legal or similarly significant effects on individuals without human review.
In the course of delivering our services, your information is necessarily processed by certain third-party platforms we use as operational tools — our CRM, AI voice, workflow automation, and payment processing platforms. This is not a sale or disclosure of your data for third-party purposes. These platforms receive your information solely to perform functions on our behalf in connection with the services you have engaged us for. Each platform is bound by its own terms of service and privacy policy, and we do not authorize any of them to use your information independently for their own marketing or commercial purposes.
The categories of platforms used and their role in service delivery are described in Section 9 of this policy. This disclosure is made deliberately and transparently so that there is no gap between what this policy states and how your data actually flows through our service infrastructure.
Our website includes forms that allow visitors to submit their name, email, phone number, business details, and other relevant information in order to request a quote, book a demo, or get in touch.
By completing and submitting any form on our website, you provide informed consent to Centurio Solutions collecting and using your submitted information to respond to your request and to follow up regarding our services. This consent is consistent with North Carolina law, which requires that the collection of personal information be disclosed to the individual at or before the point of collection.
You may withdraw your consent to future marketing communications at any time by contacting us at centuriosolutions@gmail.com. Withdrawal does not affect our right to retain information necessary for the fulfillment of existing service agreements or legal obligations.
When you book a free demo or consultation through our website, the booking form may be hosted on or integrated with our scheduling and CRM platform. Information you provide — including your name, email, phone number, and business details — will be stored within that platform and accessible to our team.
This information is used solely to confirm your appointment, prepare for your demo, and follow up with you regarding our services. Appointment data is retained in accordance with Section 10 of this policy.
You have the right to request deletion of your booking information at any time by contacting us, subject to any retention obligations under applicable law or existing service agreements.
As part of our AI receptionist service, calls made to a business phone number handled by Centurio Solutions’ AI system may be logged, recorded, transcribed, and/or summarized. The handling of call data is governed by the service agreement between Centurio Solutions and the applicable business client.
If you are a caller interacting with a business that uses our AI receptionist service, your call may be processed through our AI voice platform. Information collected during the call — such as your name, callback number, reason for calling, or appointment request — is passed to the business client for follow-up. In this context, Centurio Solutions acts as a data processor; the business client is the data controller responsible for their callers’ personal information.
North Carolina is a one-party consent state under N.C. Gen. Stat. § 15A-287, meaning a call may be legally recorded with the consent of at least one party to the conversation. Consistent with best practice, Centurio Solutions’ AI system is designed to disclose that a call is being handled by an AI and may be recorded.
Business clients using our AI receptionist service are solely responsible for ensuring their call handling practices comply with all applicable laws, including the federal Electronic Communications Privacy Act (18 U.S.C. § 2511) and multi-party consent laws in states where their callers may be located. Centurio Solutions expressly disclaims all liability for any failure by a business client to comply with applicable call recording laws.
If you contact Centurio Solutions directly by phone or email, your contact information and communication content will be retained for service and support purposes in accordance with Section 10.
Our website may use cookies and similar tracking technologies to improve your browsing experience and understand how visitors use our site. By continuing to use our website, you consent to our use of cookies as described in this section.
You can control or disable non-essential cookies through your browser settings at any time. Disabling cookies may affect website functionality.
Our use of tracking technologies is consistent with North Carolina’s prohibition on unfair and deceptive trade practices (N.C. Gen. Stat. § 75-1.1). We do not use tracking technologies in any manner designed to deceive or mislead users about how their data is used.
To deliver our services, Centurio Solutions uses third-party software platforms across the following functional categories. The specific platforms used within each category may change over time at our discretion as part of ongoing service improvement. Each provider operates as an independent data controller or processor under its own privacy policies and terms of service. Centurio Solutions is not responsible for the independent privacy practices of any third-party platform. Their policies govern any data processed directly through their systems.
Our website or services may contain links to third-party websites. Centurio Solutions has no control over the content, privacy policies, or data practices of those sites and accepts no responsibility for them. We encourage you to review the privacy policy of any third-party site you visit.
We only share your information with third-party providers to the extent reasonably necessary to deliver the services you have requested. We do not authorize third-party providers to use your personal information for their own independent marketing or commercial purposes beyond the scope of the service they provide to us.
The Health Insurance Portability and Accountability Act of 1996 (HIPAA, 45 C.F.R. Parts 160 and 164) and its implementing regulations govern the handling of Protected Health Information (PHI) by covered entities and their business associates.
Centurio Solutions is not itself a covered entity under HIPAA. However, when we provide AI receptionist services to a business client that qualifies as a HIPAA covered entity — such as a physician’s office, dental practice, therapy provider, chiropractic clinic, or other healthcare provider — we may function as a Business Associate as defined under 45 C.F.R. § 160.103. This is because answering inbound calls and booking appointments on behalf of a healthcare provider may involve incidental access to PHI (for example, a caller’s name and the nature of the appointment they are requesting).
In the course of providing AI receptionist and appointment booking services, Centurio Solutions collects and processes only the following caller information: name, phone number, email address, and appointment request details. We do not access, store, or process medical records, diagnoses, treatment information, insurance data, or any other clinical PHI beyond what a caller voluntarily provides during a call for the sole purpose of booking an appointment.
The limited caller data we handle is passed directly to the business client (the covered entity) and is not retained by Centurio Solutions beyond the period necessary to complete the appointment booking and handoff.
Business Associate Agreements (BAAs): Where a business client is a HIPAA covered entity and our services may involve incidental contact with PHI as described above, Centurio Solutions is willing to enter into a Business Associate Agreement (BAA) with that client as required by 45 C.F.R. § 164.504(e). Business clients in the healthcare sector are responsible for identifying themselves as covered entities and requesting a BAA prior to or upon commencement of services. Centurio Solutions will not knowingly provide services to a covered entity in the absence of an executed BAA where one is required.
Healthcare clients are solely responsible for ensuring that their use of Centurio Solutions’ services — including AI call handling and appointment booking — is consistent with their own HIPAA compliance obligations, including their Notice of Privacy Practices and any applicable patient consent requirements. Centurio Solutions expressly disclaims liability for any HIPAA violation arising from a covered entity client’s failure to identify itself, request a BAA, or configure our services in a HIPAA-compliant manner.
The Gramm-Leach-Bliley Act (GLBA, 15 U.S.C. §§ 6801–6827) imposes data privacy and security obligations on financial institutions, including mortgage brokers, lenders, insurance agents, tax preparers, and similar regulated businesses. GLBA requires covered financial institutions to protect the nonpublic personal information (NPI) of their customers and to provide customers with privacy notices about how their data is used.
Centurio Solutions is not a financial institution and is not itself subject to GLBA. When we provide AI receptionist or appointment booking services to a business client that is a GLBA-covered financial institution, we act as a service provider receiving customer information in the ordinary course of performing services on that institution’s behalf. In this capacity:
Client Responsibility: GLBA-covered financial institution clients are solely responsible for their own compliance with GLBA, including the obligation to ensure that service providers such as Centurio Solutions are contractually required to implement appropriate safeguards. Clients in financial services are responsible for including appropriate data protection provisions in their service agreements with Centurio Solutions. Centurio Solutions expressly disclaims liability for any GLBA violation arising from a financial institution client’s failure to include such contractual protections or to disclose its regulated status prior to commencement of services.
We retain personal information for as long as necessary to fulfill the purposes described in this policy or as required by North Carolina or federal law:
When personal data is no longer needed and no legal retention obligation applies, we will securely delete or irreversibly anonymize it.
In compliance with N.C. Gen. Stat. § 75-65 and sound information security practices, we take reasonable technical and organizational measures to protect personal information from unauthorized access, loss, misuse, disclosure, or alteration. These include:
If Centurio Solutions discovers or is notified of a security breach involving personal information of North Carolina residents, we are legally required to:
(1) Notify affected individuals without unreasonable delay, and in no event later than 45 days after discovery of the breach;
(2) Notify the North Carolina Attorney General’s Consumer Protection Division of the nature of the breach, the number of consumers affected, steps taken to investigate, and steps taken to prevent a future breach;
(3) If more than 1,000 persons are notified simultaneously, also notify all nationwide consumer reporting agencies.
Notifications to affected individuals will include: a description of the type of information involved, the general actions we have taken to protect against further unauthorized access, and a contact number or email for further assistance. We will not delay notification to investigate the scope of breach beyond what is reasonably necessary.
No method of transmission over the internet is completely secure. While we take our security obligations seriously, we cannot guarantee absolute security against all threats. We are committed to fulfilling all breach notification obligations promptly and transparently.
Centurio Solutions respects your rights with respect to your personal data. You may have the following rights depending on your location and applicable law:
Submit a written request to centuriosolutions@gmail.com with your name, contact details, and a description of the right you wish to exercise. We will respond within 30 days of receipt. In complex cases, we may extend this by an additional 30 days but will notify you of the extension and reason.
We may need to verify your identity before processing any request to prevent fraudulent access, alteration, or deletion of personal data belonging to another person.
North Carolina residents may also direct complaints about our data practices to the North Carolina Attorney General’s Consumer Protection Division at 1-877-566-7226 or ncdoj.gov.
To the fullest extent permitted by the laws of the State of North Carolina, Centurio Solutions’ liability for any privacy-related claim arising under this policy shall be limited to the total fees paid by the claimant to Centurio Solutions in the three (3) calendar months immediately preceding the event giving rise to the claim, whether the claim arises in contract, tort, or under statute.
This limitation does not apply to our obligations under N.C. Gen. Stat. § 75-65 (data breach notification), which we are committed to fulfilling in full and on time.
Centurio Solutions is not liable for the independent privacy or data practices of third-party platforms described in Section 9. Individuals interacting with those platforms do so subject to those platforms’ own policies and legal obligations.
Nothing in this section limits our liability for fraud, willful misconduct, or any liability that cannot lawfully be excluded under North Carolina law.
Our website and services are directed exclusively at business owners and adults making commercial decisions. We do not knowingly collect personal information from children under the age of 13, consistent with the federal Children’s Online Privacy Protection Act (COPPA, 15 U.S.C. §§ 6501–6506).
If you believe we have inadvertently collected information from a minor, please contact us immediately at centuriosolutions@gmail.com and we will promptly delete that information.
We may update this Privacy Policy periodically to reflect changes in our practices, services, the third-party platforms we use, or applicable North Carolina or federal law. When we make material changes, we will update the “Last Updated” date at the top of this page and, where we have an ongoing service relationship with you, provide reasonable notice of material changes via email.
Your continued use of our website or services after the effective date of any changes constitutes your acceptance of the updated policy. If you do not agree with any update, you should discontinue use of our services and notify us accordingly.
Centurio Solutions LLC may send text messages (SMS/MMS) and make calls to the mobile number you provide, but only when you have given us consent, for example by checking the consent box on our website contact form, texting us first, or agreeing in writing.
No mobile information will be sold or shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties, except with the service providers that help us deliver messages (such as our CRM and messaging platform and its carrier partners), who may use it only to provide that service.
For more about the messaging terms, see Section 20 of our Terms of Service.
